Preventative Maintenance for Rental Portfolios

Scheduled seasonal work that keeps small problems from becoming emergency work orders.

The cheapest work order is the one that never opens

Emergency work costs more than scheduled work, and it costs more than the repair alone. It arrives at the worst time, it often involves damage to something else, and it puts a tenant in a bad mood at exactly the moment they are deciding whether to renew.

Preventative maintenance is the least glamorous line on a property budget and usually the highest return.

What we schedule

HVAC service. Filter changes and system checks before summer, not during it. Not cooling and not blowing air are among the most common emergency categories on our work orders, and a meaningful share of them are preventable.

Gutters and drainage. Cleared before the wet season, so water is not being directed into a foundation, a soffit or an attic.

Seasonal winterization. Freeze protection on exposed plumbing, which is what stands between a cold snap and a burst pipe claim.

Irrigation. Checks and repairs before the system is needed, and before a failure shows up as a dead lawn and an HOA notice.

Detector checks. Smoke and carbon monoxide detectors are code items, they expire, and they are cheap to verify on a scheduled visit rather than discover at an inspection.

Landscaping and HOA compliance. Mow, edge and weed on a schedule, so overgrowth never becomes a city code violation attached to the owner.

Sized to the portfolio

A schedule that ignores how a portfolio is actually distributed does not get followed. We set visit frequency against property age, system age and climate, and we do the work on the properties that need it rather than billing a uniform plan across everything.

Documented like everything else

Scheduled visits close the same way work orders do, with photographs and an itemized invoice. Over a year that record is also useful evidence when an owner asks whether the maintenance spend is doing anything.

Vacancy work is handled as an SFR turn. Reactive requests with a tenant in place fall under occupied maintenance.

Ask about a preventative schedule for your portfolio.
